Terms & conditions
These are the terms which govern your participation in Ride Africa: Next Generation, 23 - 29 October 2027 (‘the Ride’). You should read them carefully before registering for the Ride. By completing your registration, you confirm that you are an adult participant and that you are registering both for yourself and on behalf of your child/children who will participate. These terms form a contract between you and Child.org Trading Limited (‘Child.org’).
Please note that some elements included in these Terms and Conditions may alter as we continue to develop this event. All participants will be notified of any major changes.
WHO ARE WE?
Ride Africa is brought to you by Child.org Trading Limited, a company registered in England and Wales with the number 11166601; Child.org Trading Limited is the trading arm of Child.org, a registered charity number 1118528.
1. GENERAL CONDITIONS OF ENTRY
1.1. Agreement. You certify that you are 18 years of age or older and that you have read and agreed to these Conditions for yourself and on behalf your child/children who will participate.
1.2 Understanding risks. You acknowledge that participation in the Ride will be physically demanding and that you are aware of the nature of the Ride and the associated medical and physical risks involved in a multi-day cycle. You understand that cycling inherently involves the real risk of serious injury or even death from various causes including exertion, strenuous activity, dehydration, collisions or incidents involving other riders, spectators, other road users and/or vehicles, aspects of the course or bad weather conditions and other causes. You confirm that you and your child/children are physically capable of participating in the Ride, and agree that (subject to the Limitation of Liability paragraph below) Child.org Trading Limited, its officers, employees, agents, affiliates, Sponsors or medical advisers are not responsible for any injury or illness that you or your child/children may suffer as a result of your visit to Kenya or your participation in the Ride.
1.3 Insurance. You acknowledge that it is your responsibility to obtain travel and personal insurance covering cycling and other event-related activities for yourself and your child/children who are participating. Your registration commits you to organising your own insurance and it must be adequate for the country and the type of activities (including distance cycling) undertaken during the Ride.
1.4 Pre-travel requirements. YYou further agree and acknowledge that it is your sole responsibility to obtain all necessary vaccinations and anti-malarial prophylactics for yourself and your child/children before arrival in Kenya.
1.5 Rider Rules. All participants must follow Ride Africa instructions and safety guidance. You are responsible for supervising any children registered under your care and ensuring they follow all Ride Africa instructions and safety guidance. We expect riders to be good and respectful visitors.
1.6 Data Protection. Personal information provided by you when registering for the Ride will be stored on a secure database, will not be shared with third parties and will only be used for the functional purpose of the Ride by Child.org Trading Limited, Child.org and our affiliates agents and contractors to safely administer the Ride.
1.6.1 In the case of an emergency we may pass personal details to the emergency services or health care professionals, and also use them for the purposes of informing your emergency contact.
1.6.2 You may also be contacted regarding the Event by post, email, telephone or SMS/WhatsApp regarding your participation in the Ride.

2. EVENT PARTICIPATION
2.1. Participation. Your registration entitles you and your child/children to participate in the Ride event you have selected, and the package as described on the Ride Africa website. You are responsible for all costs associated with participation for yourself and your child/children who are participating, including travel, visas, insurance, and vaccinations. Other important requirements:
Minimum age for child participants: 13 years
Adult supervision: A 1:2 adult-to-child ratio is required. However, a 1:1 ratio is advised
2.2. Media Consent. By participating, you and your child/children consent to photography, video, and other media capturing your participation, and you allow Child.org to use this media for promotional purposes without further approval.
2.3. Ride Content. You acknowledge and agree that Child.org reserves the right to change any aspects of the Ride at any time, including but not limited to, the route, accommodation, and equipment. For example, weather, animal migrations, or poaching may require Child.org to mitigate, shorten, or change the route.
2.4 Termination. Child.org reserves the right to request your removal from the Ride if your presence and/or behaviour (or that of any participant under your care) creates a disruption or hinders the Ride or the enjoyment of other participants. Child.org also reserves the right to cancel your participation or that or a participant under your care prior to the event if you fail to respond to communications or meet required payment and fundraising deadlines.
2.5. Fundraising
Adult participants (age 18+): £1800 fundraising target
Child participants (age 13 - 17): £1000 fundraising target
As part of your event participation, you agree to raise/donate the specified amount for Child.org; Child.org reserve the right to refuse your participation if you fail to donate, or no fundraising efforts are made.
3. FEE(S) AND RIDE PACKAGES
3.1 Ride Packages. Your fees for Ride Africa constitute a ‘Ride Package’ which includes your Ride entry and some or all of the following elements:
Essential transport to/from event start and finish points (travel outside event dates is your responsibility)
Accommodation during the event dates
Meals, water, and snacks during the event datesMedical and security support during the event dates
Bicycles and related equipment during the event dates
National Park entrance permits where applicable during the event dates
For the avoidance of doubt, fees to Ride Africa do NOT include a flight reservation, travel insurance, visas or travel vaccinations. All participants are responsible for booking their own flights and obtaining appropriate insurance, visas and vaccinations.
Through paying your Ride fees to Child.org Trading Limited we will be responsible for ensuring that the contract we have with you is properly performed by us and by our suppliers in Kenya. However we will not be held liable where any failure in the performance of the contract is attributable to any of the following causes:
any reckless or negligent act or acts by you or your child/children participating in the event;
any act carried out by a third party unconnected with the provision of the Ride;
unusual, unforeseeable or other circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised by us or our suppliers
3.2. Payment. The payment of all fees for the Ride is due 130 days before the event start date; in the instance that the Ride is postponed (for example, due to changing travel restrictions) the deadline for the payment of all fees will be pushed back to 130 days before the revised start date. If such payment is insufficient or declined for any reason Child.org may refuse your participation in the Ride and shall have no liability in that regard.
All participants are expected to pay £1800 per each place on the Ride
Payment deadline for the Ride is 16 June 2027.
Non-payment by this date may result in you losing your place in the event, as we need to confirm travel bookings by this date.
3.2.1 Deposit. A £100 registration deposit is required at the time of booking for each participant.
4. CANCELLATION, SUBSITUTION AND DEFERRAL
4.1 Individual Cancellation of Participation
Cancellations more than 100 days before the event start date: the deposit will be refunded less a £50 administration fee.
Cancellations within 100 days of the event start date: any event fees paid will be refunded in full, however the deposit is non-refundable due to financial loss incurred to Child.org.
4.2 Deferrals
Deferrals more than 100 days before the event start date: the deposit and any event fees may be transferred to the next available Ride Africa event. Please note that not all Ride Africa events will take children so this may not be an option.
Deferrals within 100 days of the event start date: any event fees paid will be transferred to the next available Ride Africa event, however the deposit is non-refundable due to financial loss incurred to Child.org. Please note a new £100 deposit will be required for the even to which you transfer.
If a participant defers to the next available event but is subsequently unable to attend: the place will not be deferred again and standard cancellation terms under clause 4.1 will apply.
Requests to defer participation to any Ride Africa event beyond the next available event will not be accepted.
4.3 Substitution. After registering for the Ride, if you cancel your participation Child.org will accept a substitution to take your place on the Ride, as long as they meet the criteria.
4.4 Whole event cancellation. Child.org reserves the right to cancel the Ride if they deem the Ride to be unsafe for themselves or for participants at any time. If Child.org are forced to cancel the Ride for reasons outside their control, including but not limited to, political instability, natural disaster, terrorism or Covid-19, Child.org cannot guarantee the refund of any fees if a refund would result in a loss for Child.org. If this happens, Child.org will endeavour to offer all riders a place on a future ride.
Child.org also reserve the right to cancel a ride if there is insufficient interest to make a trip viable - if this happens you will be notified at least six months before the date of your trip. For this reason you should not book the flights for your trip until you are instructed to do so by Child.org. If you book your flights or any other additional elements of your trip before you are told that it is time to do so, and your ride is cancelled or moved, Child.org will not be responsible for any costs or fees you incur as a result. In the unlikely event that Child.org cancel your trip due to insufficient interest, you will be offered a full refund on your event fee or a deferred place on a future ride.
Please note that we are not able to take responsibility for any flights booked in the case of postponement/cancellation. Participants should check the UK Foreign Office travel guidance on Kenya before booking flights. We advise participants to book on a credit card and to check their credit card company's policy on refunds in the case of cancelled events.
4.6 Donations. Under charity law, charities are not permitted to refund donations or fundraising other than in specific circumstances. Funds raised/donations made prior to cancellation are not refundable and non-transferrable.
5. LIMITATION OF LIABILITY
Nothing in these Conditions removes or limits our liability for fraud, for death or personal injury caused by our negligence, or for any liability which cannot be limited or excluded by the law.
Otherwise, we will not be liable to you for:
(i) any loss or damage to personal equipment belonging to you or your child/children;
(ii) any indirect or consequential losses (in any case whether or not such losses were within the contemplation of the parties at the date you submitted the Registration Form) suffered or incurred by you or your child/children arising out of travelling to or taking part in the Ride or any other matter arising under these Conditions, including the rescheduling, relocation or cancellation of the Ride.
Except as otherwise provided by any applicable laws, our maximum liability to you or your child/children for any claim in contract, tort, or in any other cause of action arising in connection with the Ride shall not exceed the total fees you have paid to Child.org Trading Limited.
6. RIDE DISCLAIMER
For the avoidance of doubt, all Ride participants (including your child/children) consent to the following waiver, disclaimer and release: By participating in Ride Africa, you do so at your own risk. You assume all risk of injury, illness, damage or loss to you or your property that might result, including without limitation, any loss or theft of personal property. You consent to medical treatment and associated costs in the event of injury, accident and/or illness during the Ride. You agree on behalf of yourself (and your personal representatives, heirs, executors, administrators, agents and assigns) to release and discharge the organisers of Ride Africa, its principals, its officers & directors, its employees, all sponsors and their representatives and employees from any and all claims or causes of action (known or unknown) arising out of their negligence. You acknowledge that you have carefully read this ‘Waiver and Release’ and fully understand that it is a release of liability. By agreeing to this disclaimer, you are waiving any right that you may have to bring legal action to assert a claim against any and all Ride Africa sponsors for their negligence. You hereby grant full permission to any and all of the foregoing to use your name and likeness in any broadcast, telecast, video or print media reporting or advertising of the Ride Africa without compensation.
